Professional invoicing. International buyers need invoices that meet the standards of their home country and the platforms they sell on. An invoice needs to include your full legal business name, address, GST number, product description, HS code, unit price, and total value. Informal invoices or handwritten receipts will not pass platform verification.

Clear product specifications. Size, material, weight, packaging dimensions, and minimum order quantities need to be clearly stated upfront. Buyers who have to ask for basic product information multiple times will move on to the next supplier.

Response time and communication professionalism. International buyers are working across time zones. They expect responses within 24 hours and professional written communication. Slow or inconsistent communication is one of the most common reasons buyers do not return after an initial inquiry.

Understanding what builds trust in the US and EU

Trust signals differ by market. US buyers tend to prioritize documentation, reliability, and price competitiveness. They want to know you can ship consistently, that your products will clear customs, and that there will be no surprises on delivery.

EU buyers place additional emphasis on compliance and sustainability. EU REACH regulations, product safety standards, and increasingly ethical sourcing practices matter to European importers. Certifications like GOTS for textiles, FSC for wood products, or ISO 9001 for quality management carry real weight with EU buyers.

Both markets share one fundamental requirement: they need to be able to verify that you are a real, legitimate business before they will send you money.
